Magnetboard Rules & Overview
Purpose: The Magnetboard is designed to show the availability of specific employees, who SugarHouse has determined interact with customers and coworkers at a level where any employee needs to be able to quickly and reliably ascertain their availability, from anywhere.
An overview of the Magnetboard
- GREEN MAGNET: This means the employee is here, punched in, and available to take phone calls and/or see customers.
- YELLOW MAGNET: This means employee is out of the building but will be returning at a certain time, which is selected and displayed on the Magnetboard.
- BLUE MAGNET: This means "special situation", and the Comments section will indicate the reason for the special situation.
- RED MAGNET: This means the employee is currently out of the shop, and that they will not be returning that day.
- RED MAGNET w/RETURN DATE: This means the employee is currently on vacation or an extended absence, and will be returning on the selected date.
Rules for the Magnetboard
- Update the Magnetboard with your status within 10 minutes of punching in or returning to the shop.
- Update your status anytime you leave the shop (even if it is just for break).
- Set realistic expectations for returning dates and times and make sure that you update those times as needed to keep them accurate.
- When using the "special situation" feature, make sure to add text in the comments section so that we know what is needed. Limit this text to: "DND", "Working from home", "In a meeting", etc.
- Use the Vacation Mode whenever you will be gone from the shop for multiple days.
- All magnets (except for those on "Vacation Mode") automatically change to Out (red) at the close of business each day.
- Supervisors responsible for entering time tracking hours each payday will have an Enter button on their row. The button will be highlighted in green as a reminder to enter hours. If the button is Red, that means the hours are late and need to be entered as soon as possible. Once the hours are 2 days late, the supervisors magnet will become the skull and crossbones until the hours are entered.
Naughty Marks
"Naughty Marks" are intended to be a light-hearted form of accountability and improvement. They create visibility so that we know how well we are doing at keeping our magnet accurate. Those that participate in this program do so on the "honor system".
- Naughty marks should be given each time the status of an employee's magnet is found to be inaccurate.
- When you notice a discrepancy you should correct the status of the offender's magnet and create a naughty mark selecting your name from the drop-down menu.
- Once you have reached 10 naughty marks, your magnet will be disabled and replaced by the dreaded skull & crossbones.
- To clear your naughty marks you'll need to speak to your supervisor to discuss a plan to improve your performance.
- **OPTIONAL** Offenders with 5+ naughty marks can bring simple treats for the shop as payback for the inconvenience you may have caused your coworkers.
